Our Client IT Revolution Events owns the premier DevOps conference and exhibition, having attracted over 6000 delegates since 2014 in both the USA and UK. They engaged us to produce their UK program, to benefit from our in-depth, localised knowledge and first-class UK-based supplier network.
2017’s event was held at The QEII Conference Centre and attracted over 700 delegates for 2 days of thought leadership, industry insight, workshops and networking. They were joined by over 100 speakers delivering 70+ sessions and 35 sponsor partners holding over 4000 conversations.
We chose the centrally located QEII Conference Centre to host the event, which showcased London at it’s best and offered a range of in-house AV solutions to save on logistics and costs. We bolstered the AV tech by contracting with their US partners to deliver live streaming and chose a great UK supplier for Newsroom videography and event photography.
We use Cvent for ticket sales, onsite automated delegate registration, lanyard printing and data scanners. Our NuBreed team welcomed delegates on arrival, checking them in, handing them their lanyards and goodie bags and directing them to the expo hall where breakfast was served. We had a full team of 10 from NuBreed for the duration of the event.
NuBreed Events produce and manage the exhibition floor – designing layouts and liaising with sponsors in the lead up to the event. We utilised our supplier partners to offer sponsors show logistics, printing and delivery. The exhibition was set over two rooms and ranged from table top (2x3m) Silver sponsors to a 6x6m founding sponsor.
Plenary accommodated 730 delegates in theatre style setup with a large 40ft stage and two HD projection screens with large format logo in the centre. Up-lighting, pipe and drape and stage wash completed the look of the stage with AV teams located backstage. Two Camera’s captured keynotes for live streaming and recorded content. The sessions were replayed throughout the venue on repeat TV’s so delegates could access plenary sessions from anywhere in the building.
5 co-current breakout sessions ran on both days covering an array of content. Breakout rooms were recorded and live streamed and included full stage sets with PA and lighting. NuBreed staff captured delegate data for session attendance analytics. This data was passed on to stakeholders for any sponsored sessions.
Food and Beverage
NuBreed worked with client to choose a fantastic event menu, comprising of a DDR package with additions for morning and afternoon break. We also engaged with our sponsor partners to offer them F&B for their stands, directly with the venue. Around 70% of sponsors chose to offer various F&B options throughout the event for extra delegate traction.
We curated a party alongside client to give delegates and sponsors a chance to have further discussions in a more relaxed atmosphere. The event was held across both exhibition rooms and included upgraded AV and DJ. Fantastic canapes, bowl food, beers, wines, cocktails and spirits were served throughout the event, with delegates enjoying the stunning views across Westminster and beyond.
We sourced and negotiated excellent rates for client, speakers and delegates, choosing St Ermins and Hilton Doubletree, Westminster. We secured over 700 bedroom nights in total with a fantastic average rate of £199 Inc. VAT B&B. Our client was given 20 upgraded room nights for Presidential Suite and One-bedroom suits. Both hotels were within 5 minutes of conference venue. Average saving for hotel rooms was 22%.
